ABOUT THE ROLE:
The Proficiency Testing Client Coordinator, IQMH is a vital member of HSOs IQMH Proficiency Testing team, serving as the primary point of contact for client support. The incumbent will ensure a seamless experience for clients by addressing inquiries and guiding them through processes. This role also provides crucial administrative support to keep the team organized, meet strict deadlines, and maintain easy access to critical information.
As the go-to person for client support, and providing administrative support to the PT Team, you will excel at multitasking, managing various responsibilities simultaneously, and improving processes to enhance client satisfaction and team efficiency.
Main Responsibilities:
- Serve as the primary point of contact for the Proficiency Testing process, including onboarding new clients, processing orders, and providing ongoing support by addressing inquiries. You are the go-to person.
- Support Scientific Committee activities by maintaining up-to-date membership logs and documentation, coordinating travel, processing expenses, and answering questions.
- Prepare for internal meetings by creating briefing materials, agendas, and minutes, and ensuring follow-up on action items.
- Coordinate and organize all aspects of onsite meetings, including catering, to facilitate a seamless experience for guests.
- Assist the Proficiency Testing team with administrative tasks, including office coordination, credit card processing, maintenance of subcontractor logs, and document management.
- Order office and kitchen supplies, as well as materials needed for the proficiency testing program.
- Contribute to improvement projects by completing assigned tasks as needed.
Must Have Qualifications:
- College diploma in a specialized field.
- 3+ years of progressive and varied experience in client services and administration (ideally within the field of healthcare/medical laboratories).
- Knowledge of the healthcare/medical laboratories environment.
- Outstanding interpersonal skills. This is key. Youll be interacting daily with our clients and with our valued Scientific Committees.
- Strong verbal and written communication skills.
- Demonstrated adeptness in a fast-paced environment, comfortable in using Microsoft applications and digital technology.
- Demonstrated problem-solving skills to identify root causes of challenges and assist in developing effective solutions in a team-oriented environment.
- Record of accelerated learning and taking on increasingly responsible roles.

Desired Qualifications:
- Experience in a Medical Lab Assistant role or working in a medical office environment
- Have experience with process improvement.
- Bilingual in French and English.
- Experience working with people via distance.
- Technical knowledge of SmartSheet and/or DocuSign.
