Role Responsibilities

As a Disclosure Coordinator you will be responsible for reviewing and analyzing child intervention files to identify responsive records under authorized requests for disclosure. You will be handling confidential child intervention files that requires a high degree of confidentiality and accuracy in accordance with legal and statutory requirements.

The successful candidate will be reporting to the to Team Lead of Disclosure & Legal Supports (DLS), within the Office of the Statutory Director, this position works as part of a team to assist the Ministry in the disclosure of child intervention records, as appropriate under the Child, Youth and Enhancement Act (CYFEA) and the Freedom of information and Protection of Privacy Act (FOIPP).

You will be managing a high volume of records and documents, both in electronic and paper formats, and collects, images, reviews, redacts, discloses child intervention records, with respect to the privacy and security requirement of the FOIPP and CYFEA Act and to ensure compliance with legal timelines in accordance with applicable law, policies, and the framework of the law.

You will ensure that all records required for production in litigation claims, class action settlements, fatality inquiries, and other requests for records have been accurately reviewed and appropriately redacted to protect legal and statutory privileges. This position plays a key role in locating, retrieving, imaging, auditing, vetting, redacting, reviewing, providing feedback on the redaction work, and disclosure of the completed work.

Main responsibilities include but not limited to:

  • Records Selection, as in locate and retrieve electronic child intervention records in various electronic systems such as Child Intervention Case Information Online (CICIO), Child and Youth Information Management (CYIM), and Documentum.
  • Vetting Records.
  • Audit imaged records for integrity and accuracy and upload into Documentum.
  • Scan, Audit, Track and return the records to their source when required.
  • Prepare correspondence and filing confirmations of the disclosure in Documentum.

Qualifications University graduation in a related field; (such as Social Sciences, law/legal assistant, FOIP Certification) or equivalent as described below. Equivalency: Directly related education or experience considered on the basis of:
  • 1 year of education for 1 year of experience.
  • 1 year of experience for 1 year of education.
Preference will be given to those who have experience in:
  • Record Management.
  • Strong organizational skills, with ability to manage multiple, diverse, complex and sensitive assignments within fixed timelines.
  • Overall awareness of Ministry legislation and regulations.
  • Developing, evaluating, implementing policy initiatives, programs and services.
