VOLUNTEER COORDINATOR

Position Summary

The Coordinator is responsible for the full cycle of volunteer management at the Mon Sheong Foundation (MSF), including recruitment, onboarding, and training. The coordinator ensures proper training, motivation, and engagement to maintain service quality, volunteer satisfaction, and retention.

Responsibilities

  • Develop and Implement recruitment strategies using multiple channels to attract new volunteers, also build partnerships with local organizations, schools, and businesses to expand the volunteer base and opportunities.
  • Conduct orientation sessions for new volunteers, provide role-specific training to ensure confidence in their responsibilities, and maintain up-to-date training materials and resources.
  • Act as the main point of contact for volunteers, addressing concerns, fostering a positive and inclusive environment, and recognizing achievements through events, awards, and other forms of appreciation.
  • Monitor volunteer hours, activities, and performance using a volunteer management system, gather feedback from volunteers, residents, and staff to assess program effectiveness, and analyze data to enhance engagement and retention.
  • Maintain regular communication with volunteers to share updates, opportunities, and MSF news, collaborate with staff to align volunteers with programs and events, and promote volunteer programs through newsletters, social media and local events.
  • Ensure accurate record-keeping according to MSF volunteer file requirements, prepare reports on program outcomes and metrics for committee members, and ensure compliance with legal, health, and safety regulations for volunteer activities.
  • Collaborate with internal departments and external organizations to provide volunteer services that support various events and functions for MSF and the community.
  • Prepare committee meeting packages, schedule meeting times, remind members of meeting dates, take minutes, and ensure timely report submission to evaluate the effectiveness of services and programs.
  • Perform other duties as required.

Qualifications

  • Post-secondary education in a human services-related field (Volunteer Management, Social Services, Gerontology, etc.)
  • Working experience in not-for-profit organization.
  • Experience working with youth, seniors, immigrants, and/or Chinese community.
  • Well-organized with excellent multitasking abilities, able to manage multiple priorities and deadlines effectively.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members, volunteers, staff and committee members.
  • Proficiency with Microsoft Office applications, (i.e. Word, Excel, Outlook, PowerPoint, etc.) and familiarity with databases
  • Excellent verbal and written communication skills, with the ability to interact effectively with diverse volunteers and staff.
  • Fluency in Cantonese and/or Mandarin languages will be an asset.
  • Ability to work weekends and evenings as needed.
  • Valid drivers license and access to a reliable vehicle.
