Job Summary: Reporting to the Manager, Student Awards and Financial Aid, this position provides specialized customer service to current and prospective students, their families, staff, faculty and community members by providing information and resources on matters related to scholarships, awards and financial support during postsecondary education. The position provides support to the Student Awards and Financial Aid team for the effective and accurate administration of institutional, federal and provincial government student financial aid programs, programs include the Ontario Student Assistance Program (OSAP), internal and external bursaries, scholarships, and awards, University Works programs and other provincial student aid.

Responsibilities/accountabilities:

1. Supports Student Awards in the administration of intuitional and donor scholarships and awards:
  • Provides quality customer service and responds to email inquiries related to student awards and scholarships
  • Communicates with students regarding outstanding information and documentation as required, such as collection of direct deposit information
  • Maintains accurate and up-to-date records of donor award amounts, criteria and recipients in collaboration with Advancement and awards team members
  • Executes the process for awarding the Entrance and In-Course scholarships
  • Compiles records and receipts for the BSWD program
  • Provides support for award adjudication in collaboration with the Student Awards Officer, including coordinating the application process for committee-based donor awards and major scholarship applications, including managing timelines, collection of applications and supporting materials, communication to reviewers and communication to successful recipients
  • Coordinates the receipt of funds and payment to students for external award recipients administered through the university
  • Supports the administration of the bursary process, such as running reports, working with team members on files requiring review, etc.
  • Creation and maintenance of statistical and annual reports on scholarships, awards and financial assistance
  • Coordinates events and outreach related to student awards and financial aid
  • Assists in system testing and enhancement projects
2. Assists Financial Aid and Enrolment Services:
  • Provides support in responding to inquiries via email related to financial assistance, OSAP documentation, and general inquiries
  • Support the team in processing signature pages and confirmation of enrolments
  • Other duties as required
3. Provides supports for the University Works program
  • Provide support for administration of the University Works program as required, including responding to emails, preparing communications, processing contracts and other duties to support the Student Awards and Financial Aid team
4. Communications and Outreach
  • Assists with the development and execution of Student Awards and Financial Aid events and outreach initiatives

Required Education:

  • Completion of a formal post-secondary/college/university program of three academic years in a related field
  • An equivalent combination of education and related experience may be considered
  • Verification of Academic credentials may be required

Required Experience:

  • 3 -5 years experience
  • Experience working in a higher education Financial Aid environment required
  • Experience with government aid and loan administration, including provincial, federal, out of province and out of country programs preferred
Knowledge:
  • Proficiency in MS Office, especially Excel, and Banner Student Information System
  • Use of the Ministry of Colleges and Universitys OneKey portal an asset
