If you require accessibility accommodation, please contact the Human Resources Department vic.hr@utoronto.ca Position Summary: Under the general direction of the Residence Services Supervisor and Business Manager, Ancillary Services Operations, the Residence Services Desk Attendant Night Auditor supports the day-to-day operations of Residence Services, ensuring alignment with the policies, procedures, and objectives of Victoria University. Key responsibilities include: greeting students and visitors; managing and distributing keys; administering parking; delivering mail; check-in/outs; supports the training process of new hires, and serving as the general switchboard for the University. During the summer months, the Residence Services Desk Attendant assists with the hotel and conference operations. The position involves working with a wide variety of people, particularly young adults. As a first point of contact, the incumbent must provide friendly, professional and efficient service, demonstrating tact and adaptability in a fast-paced, multicultural environment. The role requires dependability, sound judgment, and the ability to calmly address concerns and resolve issues using available resources. Building and maintaining positive relationships with students, staff, and visitors is essential to success in this position. Qualifications Required: Education Diploma/Certificate with some courses in hospitality and accounting or equivalent combination of education and experience. - Proficiency in Microsoft Office Suite (Excel and Word) with strong typing skills.
- Familiarity with StarRez Housing Software or other hotel software.
- Experience with online student identity databases, electronic key systems, and point-of-sale (POS) systems.
- Ability to deliver mail to four residences, patrol parking lots, and check residence rooms.
- Answer and direct incoming calls via the university switchboard; provide information on Residence Services and general university inquiries. Respond to emergencies (e.g. fire alarms, maintenance issues, elevator malfunctions, library alarms) by contacting appropriate responders (fire department, EMS, elevator company, security or police).
- Address deficiencies, noise complaints, over-flowing toilets, water leaks, broken windows, etc. by using available tools and resources to communicate with staff.
- Submit written shift report, summarizing all issues/interaction according to shift report template.
- Supports the onboarding and training of new front desk staff through job shadowing and acting as a resource
- Support the operation of various programs in the Residence Services area such as Neds Express and more
- Maintain and track inventory or electronic and metal keys.
- Issue and monitor keys for specific locations (e.g. Bader Theatre, Cats Eye)
- Assist with department projects as assigned
- Balance and record cash float at the beginning and end of shift Process payments for guest rooms, parking, cots, key and other services
- Print transaction reports and complete cash-outs
- Manage room reservations in StarRez; prepare key packages for incoming students.
- Sort student mail and deliver to residence mailboxes.
- Issue and track temporary keys, verifying identity using the student database
- Conducts room checks before student arrivals
- Issue and receive don cell phone and master keys.
- Follow protocols regarding student health and wellness; escalate concerns to the Deans Office
- Submit online maintenance request forms or contacts staff for matters.
- Resolve complaints about laundry and vending machines
- Issue parking passes and enters records in Excel.
- Conduct daily parking rounds; liaise with Security and Parking Enforcement to address infractions
- Coordinate contractor parking permits with the Maintenance Team
- Facilitate the key-sign our process, ensuring accurate record-keeping, proper authorization and the secure management of keys to maintain building and property security.
- Provide support to the Residence Service Manager or Supervisor for other projects and tasks as required
- Receive and process applications, and payments for long term summer students.
- Reserve guest rooms in StarRez and manage check in and outs
- Prepare daily reports regarding housekeeping and breakfast counts.
- Control master keys located at the residence desk during the summer period.
- Conduct room checks before guest arrivals and prepare registration forms and keys
- Prepare room assignments for summer groups and assign rooms under the direction of supervisor.
- Prepare invoices for summer camps groups or summer groups, and guests as required.
- Respond to queries via telephone and email; escalate to the supervisor as needed
- Proactively problem solve utilizing all available resources.
- Maintain a primary $200 float at the start and end of shift and reconcile all cash documents and check secondary float $200 (once per shift).
- Perform end of shift cash-out and run end of shift reports.
- Run night audit and prepare audit packages in accordance with night audit manual.
- Prepare journal vouchers and cheque requests.
- Find and amend mistakes in daily financial transactions; inform the team of their errors.
- Amend all financial errors of the team and communicate to team and supervisor.
- Balance and charge off select StarRez accounts on a daily and monthly basis.
- Communicate with person doing bank deposit regarding audit/cash issues; do a final review of audit packages and opening and closing numbers on a weekly basis.
- Assist Supervisor in the preparing of weekly banking deposits.
- Coordinate with departments to address unresolved issues in the supervisors absence
- Support the development and delivery of other projects and programs from time to time
