The Role
Our team at Northwestern Polytechnic is looking for a full-time program assistant for the Veterinary Technology and Agriculture Operations programs on the Fairview Campus. This integral role within the Animal Sciences Department acts a point of contact for internal staff, students, and external stakeholders. The Successful candidate would work in a student-centered environment with a dependable schedule.
Job Duties:
- Coordinate and schedule meetings and appointments
- Prepare and format documents, reports, and correspondence
- Manage incoming telephone calls and direct inquiries to the appropriate departments or personnel
- Serve as a point of contact for student communication before, during, and after their time in the program
- Compile and distribute informational packages to prospective students
- Organize meeting logistics, including agendas, minutes, catering, and room bookings
- Submit and track facility work orders as needed
- Assist new staff on standard procedures and departmental operations
- Conduct tours for both internal stakeholders and external visitors
- Manage purchasing, requisitioning, financial coding, and invoice processing
- Provide general administrative support to faculty and staff
- Represent the department at recruitment and outreach events
- Participate actively on departmental and institutional committees

Job RequirementsNecessary skills and attributes to be successful in this role include:
- Passion and enthusiasm for post-secondary education
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office applications such as Word, PowerPoint and Outlook
- Spreadsheet Proficiency: Developing templates, utilizing formulas
- Strong organizational and multi-tasking skills
- An ability to build strong relationships across the organization
- A high level of integrity, professionalism, and accountability
