The Opportunity

We are seeking an accomplished, innovative, responsible and confident individual to provide comprehensive office management support and take responsibility for a wide variety of complex administrative operational functions at Pine Grove Correctional Centre in Prince Albert. This position reports to the Deputy Director of Administration.

As an Office Manager, you will:

  • Provide direct and functional supervision to accounting, payroll, and clerical staff.
  • Determine clerical needs, prepare job descriptions and complete the staffing process, provide orientation, evaluate performance, determine training needs, approve time-off requests, and participate as a team member within the office environment and in staff meetings.
  • Provide confidential support services to the facility Director, and four Deputy Directors such as processing correspondence, letters and memos based on prescribed visual identity standards, project administration, processing of statistical reports, and other ad hoc duties as they arise.
  • Be involved with financial functions, accounting, property management and in contact with other departments/branches/agencies as required.

The successful candidate will have:

  • Leadership & Team Management: Proven experience in a leadership role, with the ability to motivate and manage a team effectively.
  • Organization & Time Management: Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to engage with employees, vendors, and clients.
  • Problem-Solving: Ability to identify and resolve issues quickly and efficiently in a fast-paced environment.
  • Tech Savvy: Proficient in office software (e.g., Microsoft Office Suite) and comfortable with office management tools.
  • Attention to Detail: High attention to detail with a focus on accuracy and efficiency.
  • Customer Service Orientation: Ability to manage relationships with vendors, clients, and employees while maintaining a positive and helpful attitude.
  • Budgeting & Cost Management: Experience with office budgeting and cost management is a plus.
  • Confidentiality & Discretion: Able to handle sensitive information with the utmost confidentiality and professionalism.

Preferred Qualifications:

  • Background in accounting or finance is an asset.
  • 2+ years of experience in office management or a related role.
  • Prior experience in supervising or managing a team.
  • Experience in a fast-paced environment is an asset.
