Office Manager
OverviewWe are seeking a highly organized and detail-oriented Office Manager to oversee our administrative operations. The ideal candidate will possess strong administrative skills and be proficient in managing office tasks efficiently. This role is crucial for ensuring smooth day-to-day operations, providing excellent customer support, and maintaining effective communication within the team.
Responsibilities
- Manage and coordinate administrative tasks, including scheduling meetings and maintaining calendars.
- Answer staff and patient concerns with professionalism, demonstrating excellent etiquette while addressing inquiries and providing customer support.
- Organize and maintain filing systems, ensuring all documents are accurately filed and easily retrievable.
- Perform data entry tasks with precision, utilizing various software applications to maintain accurate records.
- Utilize Google Suite for document creation, collaboration, and communication among team members.
- Proofread documents for accuracy and clarity before distribution or filing.
- Assist in onboarding new employees by providing necessary training on office procedures and systems.
- Maintain office supplies inventory by monitoring stock levels and placing orders as needed.
- Support the team with clerical duties as required to enhance overall productivity.
Qualifications
- Proven experience in an administrative role or similar position is preferred.
- Strong proficiency in using computer systems, particularly Google Suite applications (Docs, Sheets, Drive).
- Excellent organizational skills with a keen attention to detail.
- Ability to manage multiple tasks simultaneously while maintaining a high level of accuracy.
- Strong written and verbal communication skills to effectively interact with team members and clients.
- Experience with phone systems and customer support practices is a plus.
- Familiarity with proofreading techniques to ensure high-quality documentation.
