Office Administrator

Commissionaires Southern Alberta is responsible for providing professional security services for Calgary, Red Deer, Lethbridge, Medicine Hat, and Suffield. Job Purpose
Reporting to the Senior Manager, People and Programs, the Office Administrator is responsible for providing high quality and administrative support to internal stakeholders, across the organization. The Office Administrator will also provide timely and effective support to Human Resource department, including administration of the HRIS.
Duties and Responsibilities
- Provides administrative support to various functional areas including the HR Department, which may include support for recruitment, employee onboarding and offboarding, maintenance of personnel records, and compiling reports;
- Administers and maintains employee profile information in the HRIS (Criterion) platform, including new hires, and terminations;
- Track newly on boarded employees and liaise with internal stakeholders to ensure all necessary information is updated in the system;
- Benefits administration - responsible for keeping records up to date including processing new enrollments and amendments to coverage.
- Conduct exit interviews and provide quarterly reporting as required;
- Process and track employee security clearances applications;
- Backup for Reception as required;
- Escalate any grievances or problems of a difficult nature to the People and Culture Coordinators (PCCs) or Sr. HRBP.
- Work with discretion regarding sensitive and confidential information;
- Provide assistance and back-up to other HR team members;
- Assists VP People & Culture with various reports and/or special projects and other duties as assigned;
- Maintains confidentiality in all areas of responsibility;
- Other duties and projects as assigned.
Education Requirements
- Certificate or Diploma in an Administration program from post-secondary institution.
- Minimum 3 years administrative experience
Knowledge Requirements
- Exposure to HR policies and procedures considered an asset;
- Knowledge of Provincial Privacy Acts;
- Recent Canadian Forces or RCMP service (strong asset).
Skills Requirements
- Intermediate to advanced knowledge of Microsoft Office (Word, Excel, Access, PowerPoint and Outlook);
- Excellent administrative and data entry skills;
- Customer service oriented with proven organizational skills;
- Strong focus on attention to detail;
- Able to effectively collaborate and build relationships with other departments within the Division;
- Ability to act with diplomacy, tact and professionalism at all times;
- Handle multiple tasks, and meet multiple deadlines simultaneously;
- Strong communication skills, fluent in English both verbal and written;
- Able to meet criteria to receive NATO Secret Security Clearance.
Working Conditions
- Work weeks are 40 hours, Monday to Friday, from 8:00 a.m. to 4:00 p.m.;
