Position Overview: Shawano Consulting Services Ltd. is seeking a highly organized and motivated Administrative Assistant to join our team. This key position operates under the general supervision of the Assistant Project Manager and reports directly to the Director of Shawano. As the first point of contact for visitors and inquiries, the Administrative Assistant is responsible for managing the front desk, supporting office procedures, and providing administrative support across the company. This role is ideal for a professional who excels in multitasking, communication, and administrative coordination. Duties may extend beyond the standard scope and include additional responsibilities related to Project Management. Key Responsibilities
- Serve as the first point of contact for all office visitors and inquiries (phone, email, mail, fax).
- Maintain effective communication with Shawano team members, First Nations, government representatives, and the public.
- Develop and implement efficient operational and administrative procedures.
- Create and manage correspondence, reports, presentation materials, and spreadsheets.
- Maintain organized filing systems and ensure confidentiality of client/project records.
- Support meeting logistics: scheduling, room bookings, agendas, materials, and minute-taking.
- Arrange travel and accommodation as required.
- Process and track purchase orders, quotes, invoices, and maintain office supply inventory.
- Keep the reception area clean, organized, and welcoming.
- Handle general administrative duties: data entry, scanning, printing, mailing, and courier services.
- Grade 12 diploma (or equivalent) required.
- Post-secondary education in Administration (Administrative Assistant Certificate or Diploma)
- Experience in a professional office setting.
- Familiarity with First Nations communities in southeast Manitoba.
- Strong problem-solving and decision-making abilities.
- Discretion in handling sensitive information.
- Tactful and diplomatic communication style.
- Cultural awareness and respect for diversity.
- Proficient in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint).
- Comfortable using virtual meeting platforms.
- Strong written and verbal communication.
- Capable of managing multiple deadlines with minimal supervision.
- Valid Class 5 Drivers License and reliable transportation.
- Ability to travel occasionally to urban, rural, or remote locations.
- Must demonstrate strong work ethic, reliability, and professional integrity.
- Willingness to work independently or as part of a team.
