Job Description:
We are seeking a highly organized and detail-oriented Administrative Assistant to support the smooth operation of our office. The ideal candidate will have excellent communication skills, a strong ability to multitask, and experience in office management. As an Administrative Assistant, you will be responsible for a variety of clerical and administrative tasks to ensure efficiency and productivity within the office.
Key Responsibilities:
- Answer and direct phone calls, emails, and other communications to appropriate personnel.
- Maintain and organize office files, both physical and electronic.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Handle incoming and outgoing mail, packages, and deliveries.
- Assist in the preparation of meeting agendas, minutes, and other administrative documentation.
- Maintain office supplies inventory and reorder materials when necessary.
- Manage the office calendar and ensure deadlines and meetings are met.
- Assist with human resources tasks such as onboarding, filing documents, and maintaining employee records.
- Process invoices, expenses, and other financial documentation as required.
- Provide general administrative support to other team members and departments as needed.
- Ensure the office environment is organized, clean, and well-maintained.
- Assist with special projects and company events as needed.
Qualifications:
- High school diploma or equivalent; associates degree or higher preferred.
- Minimum of 1-2 years of administrative experience.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- Professional demeanor with the ability to work well in a team environment.
- Strong problem-solving skills and ability to think on your feet.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Skills and Experience:
- Experience with office management software and tools (e.g., Google Workspace, project management software).
- Experience in accounting or finance, such as processing invoices or handling basic financial tasks.
- Familiarity with scheduling software or tools (e.g., Zoom, Calendly).
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Ability to lift and move office supplies (up to 20 lbs)
Work Environment:
- Office-based environment with regular interaction with team members and clients.
- Occasionally need to work outside of regular business hours for meetings or events.
