Global Convention Services is seeking a highly organized, results-oriented individual with a passion for delivering excellent customer service to join our team as an Exhibitor Services Coordinator in Calgary, Alberta.

About the Role
The Exhibitor Services Coordinator will be an integral part of our Calgary, Alberta operations. In this role, you will be responsible for setting up and maintaining the online ordering portal, assisting exhibitors with orders, and serving as the main onsite point of contact for exhibitor sales, material handling, and customer service needs. You will work closely with Account Managers, Operations, and other event professionals to ensure exhibitors have a seamless experience from pre-event planning through post-event follow-up.
Your efforts will be critical in driving onsite sales, enhancing customer satisfaction, and streamlining the overall exhibitor experience.
Key Responsibilities
Exhibitor Support & Customer Service
- Act as the primary onsite contact for exhibitors, providing expert guidance on available services, material handling, and event logistics.
- Set up and operate the Exhibitor Services Desk during events, assisting exhibitors with orders, answering questions, and resolving issues promptly.
- Proactively engage with 30-300+ exhibitors per event, ensuring they understand the move-in/move-out process.
- Provide high-level customer service, responding to inquiries in a timely and professional manner.
- Assist exhibitors in placing orders for furniture, equipment, signage, and other services both before and during the event.
Online Ordering Portal & Sales
- Set up and maintain the online ordering portal for each event using ConventionSuite, ensuring accurate product listings, pricing, and deadlines.
- Assist exhibitors with the online ordering process, troubleshooting any issues and ensuring they can easily access the services they need.
- Maximize revenue opportunities by effectively upselling additional services, such as furniture rentals, custom signage, and booth enhancements.
Material Handling & Logistics Coordination
- Develop a strong understanding of material handling processes and act as the go-to resource for exhibitors, coworkers, show organizers, and facility managers.
- Ensure exhibitor freight is properly documented, accounted for, and delivered efficiently.
- Work closely with the installation team to ensure timely delivery of materials and services.
Event Preparation & Administration
- Obtain and confirm event-related details with clients, distributing key information to internal teams in a timely and professional manner.
- Coordinate client needs with vendors and suppliers, including AV, décor, and other rental items.
- Prepare for events by ensuring all necessary documentation is printed, accurate, and up to date.
- Maintain organized records of exhibitor transactions, sales, and services provided.
- Ensure all accounting and invoicing procedures are completed accurately upon event close.
What You Bring to the Role
- 2-3 years of experience in customer service, sales, or event-related roles.
- Strong ability to multitask and manage multiple priorities in a fast-paced environment.
- Highly organized with effective time management skills.
- Ability to work independently and as part of a team, maintaining professionalism under tight deadlines and long hours.
- Exceptional oral communication skills, with a high level of confidence introducing yourself to clients and exhibitors.
- Comfortable leading small teams and working collaboratively with various departments.
- Proficiency with Microsoft Office and experience with POS (Point-of-Sale) systems.
- Experience with NetSuite (ConventionSuite) is an asset.
- Must be able to work flexible hours, including evenings and weekends as required.
