The Opportunity

The Ministry Energy and Resources is seeking a highly organized and detail-oriented administrative professional to join us in the role of Executive Administrative Assistant to support to the Executive Directors of Strategic Planning and Initiatives and Business and Technology Services. Your services will be split between both areas.

In this role, you will provide senior level administrative leadership and office management support to the by:

  • Managing, tracking and monitoring action items, referrals and correspondence within timelines;
  • Planning, scheduling and coordinating travel and logistics for meetings, training sessions and other events;
  • Managing calendars through collaboration, prioritization and scheduling;
  • Monitoring administrative processes and making improvements within the branch to ensure optimum efficiency;
  • Drafting, recording, proofreading and/or editing a variety of documents in accordance with Government of Saskatchewan (GOS) visual identity standards and ministry writing standards;
  • Handling sensitive documents with discretion;
  • Verifying, coding, processing and tracking invoices for approval and payment ensuring policy compliance;
  • Compiling expense information and preparing forecast and budget reports for review;
  • Maintaining manual and electronic filing, bring forward and records management systems; and,
  • Ordering supplies and handling office equipment repairs and furniture replacement.

  • Independent and confident in organizing, prioritizing and proficiently completing multiple tasks while dealing with frequent interruptions and tight deadlines;
  • Proficient in managing budget activities and monitoring office expenditures;
  • Able to verify, code, process and track invoices for approval and payment compliance with policy;
  • An exceptional communicator both verbally and in writing;
  • Have extensive knowledge of government policies and procedures; and,

Typically, the knowledge and experience required to achieve the above is obtained through:

  • A combination of formal education in business or office administration, combined with work experience in a similar role; and,
  • Experience using a variety of computer software applications such as Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).
