Position Information Position Number P01572 Position Title Camp OC Program Support Division/Portfolio Continuing Studies and Corporate Training Department/Program C/S Administration Location Kelowna Other Flexible Work Options Your Opportunity Under the direct supervision of the Program Administrator and the general supervision of the Program Coordinator, the Camp OC Program Support works in collaboration with the Camp OC registration staff, instructors, and other Camp OC staff to ensure the successful execution of Camp OC. The Camp OC support person organizes, purchases and keeps inventory of materials and supplies for camps, including communicating with instructors, researching prices, and assists in monitoring budgets under the direction of the Camp OC Program Administrator and Program Coordinator. Prepares and delivers supplies to camps and ensures Camp OC office is set-up and organized. Assists with internal paperwork, such as submitting workorders and IT, parking and Salto requests. Assists the Camp OC Program Coordinator with the Camp OC volunteer program by ensuring paperwork is submitted and relevant information is sent to the volunteers. Assists with the scheduling, orientation and training of the volunteers and greets the volunteers on first day of camp by showing them to their classroom. The Camp OC Program Support has access to confidential information, such as campers medical information and other important information listed on the Parental Consent form and may be required to pull and review detailed reports and provide information to the Camp OC Program Administrator and Program Coordinator. They are responsible for helping to organize and ensure all paperwork is submitted on time, and connecting with instructors and parents when needed. In addition to administrative support, they will help supervise campers during lunch hours, sign kids in and out of camp, go on occasional field trips and assist instructors in classrooms when needed. Functions and Duties 1. Provides clerical and day-to-day support to Program Coordinator for Camp OC; communicates with Camp OC instructors, plans, organizes, purchases, and distributes materials and supplies, reviews confidential camp attendee documents, prepares printed material and reports. 2. Arranges and completes necessary paperwork (work requests, purchase requests, IT requests) for facilities and other resources as necessary (eg. Facilities, IT, Security, etc.) to support individual camp requirements. 3. Organizes work, maintains detailed reports, and performs data entry functions. 4. Assists the Program Coordinator with the administration of the Camp OC Volunteer program, including orientation and scheduling. 5. Provides general information on established Camp OC procedures, programs, and services; refers to other sources as appropriate. Ensures all established protocols and reporting structures are followed. 6. Monitors and assists Instructor with camper activities to ensure they are carried out in a safe, caring, and nurturing environment. Education and Experience Completion of Grade 12 (or equivalent) and a minimum of one year directly related experience in a similar position, required. Valid class 5 drivers license and a clear Criminal Record Check (CRC) required. First Aid training and previous experience working with children considered an asset. Skills and Abilities
