Meaningful work youll be part of
As a Facilities Project Coordinator, youll work as part of a team of problem solvers, helping to solve business issues, deliver high quality client service and operational efficiency. Responsibilities include but are not limited to:
Support the National Facilities project team with the planning, execution, and monitoring of projects and project-related activities. This includes developing robust business cases and charters to ensure that the projects scope, benefits, impacts, costs, and timelines are fully described
Work closely with clients, designers, vendors, and other departments to coordinate projects by estimating, scheduling, developing, and delivering project-related activities in a timely fashion
Oversee and coordinate the activities of inspectors, contractors, and field crews engaged in facility construction projects. Monitor productivity, progress, and track project costs to ensure safety and timely completion
Capture data for all key project documents, including business cases, project charters, change requests, status reports, milestones, achievements, benefits, and risk analysis
Develop and implement maintenance programs for project-related equipment and infrastructure, ensuring optimal performance and compliance with safety standards Transition the day-to-day responsibility of the space to the National Facilities team once all deficiencies have been completed
Liaise with Procurement and advise on National vendor selection, cost-saving initiatives and process reviews of vendors
Organize workflow to meet delivery schedule and to complete assigned jobs. Collaborates with LOSs and vendors to assess needs and set priorities. Implement procedural and policy changes as needed to improve operational efficiency
Report maintenance concerns to Facilities management team and collaborate with them and vendors regarding possible solutions
Perform budgetary tracking that includes reviews of budget spending
Experiences and skills youll use to solve
Proven experience in project coordination within a facilities management context
Knowledge of construction, renovation, and maintenance projects
Strong organizational and communication skills
Ability to manage multiple projects simultaneously and meet deadlines
Familiarity with safety regulations and quality standards
Critical attributes of this position include excellence in customer service, positive, proactive “can do” attitude, strong interpersonal and communication skills.
Digital and/or technical skills, attention to detail, discretion in handling confidential information, ability to handle multiple priorities and flexibility to prioritize and adapt to changing demands, deadlines and work in a team environment are essential
Exceptional organizational skills and ability to prioritize multiple responsibilities
Extensive technical knowledge and proficiency in AutoCAD, MS Office Suite, ServiceNow, and other office services tools
Must be able to demonstrate intermediate proficiency levels in MS Office Suite (Word, Excel, PowerPoint)
Confidence in ability to work in a highly technical and ever-changing work environment
