The purpose of this role is to protect financial accuracy and improve recovery of customer compliance deductions by validating claims, disputing invalid deductions, and identifying root causes that reduce future deduction risk. The role supports Finance by keeping deduction balances clean, improving customer compliance visibility, and partnering with Sales, Customer Service, Supply Chain, Logistics, Finance, and external customers to resolve issues with clear documentation and timely follow-up.
Primary Responsibilities:
Review, validate, and investigate customer compliance deductions and chargebacks, including OTIF claims, shortages, pricing discrepancies, damages, routing fines, ASN or EDI charges, warehouse allowances, and other customer compliance programs.
Determine claim validity by reviewing customer agreements, invoices, shipping documents, proof of delivery, scorecards, customer portals, and internal records.
Submit disputes and manage recoveries by providing supporting documentation for invalid deductions and managing repayment requests.
Identify root causes and support corrective actions across customers, carriers, third-party logistics providers, warehouses, Supply Chain, Customer Service, Sales, and Commercial teams.
Reconcile deduction accounts, including reserves, accruals, repayments, and aging balances, and support month-end close activities, reporting, and dashboards.
Support customer audits, compliance and business reviews, system or tool transitions, and cross-functional projects as required.
Education and Qualifications:
3 to 4 years of relevant experience in deductions management, supply chain, finance, or a related field.
Bachelor's degree in business administration, supply chain, finance, or a related field.
Experience managing compliance and deduction programs with distributors and major retailers preferred.
Strong analytical mindset, attention to detail, and understanding of supply chain deduction processes, preferably within the consumer-packaged goods industry.
Proficiency in SAP, preferred, or other ERP software, Microsoft Excel, and other data analysis tools.
Comfortable managing data, building reports, and using dashboards to identify trends and support decision-making.

Validate assigned compliance deductions using customer agreements, invoices, proof of delivery, scorecards, customer portals, and internal records. Maintain complete backup for disputes and repayment requests. Escalate unclear or high-risk deductions with recommended next step.
Aging management and account reconciliation
Aging balance reviewed; deductions in new or unresolved status with owner and explanation; reconciling items documented; month-end support completed on time.
Maintain assigned deduction portfolio with clear status, owner, and next action. Support month-end close through timely updates on reserves, accruals, repayments, and aging balances. No aged item should sit without documented reason or follow-up action.
Root cause support and corrective action tracking
Recurring deduction themes identified; root causes documented; corrective actions tracked with responsible owner; reduction in repeat issues where action is within RNF control.
Identify patterns across OTIF claims, shortages, damages, routing fines, ASN/EDI charges, warehouse allowances, and logistics deductions. Share insights with the right internal partner and track corrective actions until resolved or formally closed.
Stakeholder follow-up and cross-functional communication
Timeliness and clarity of follow-up; stakeholder response tracking; issue summaries that explain impact, ask, and required decision.
Provide concise updates to Finance, Sales, Customer Service, Supply Chain, Logistics, Commercial teams, carriers, third-party logistics providers, warehouses, and external customers. Escalate blockers early with facts, options, and financial impact.
Reporting, dashboards, and decision support
Quality of reports and dashboards; data accuracy; trends summarized in plain language; recurring insights shared with manager and partners.
Maintain assigned reporting inputs accurately and support dashboards or trackers that show deduction volume, aging, recoveries, disputes, and risk themes. Convert data into simple commentary that helps prioritize action.
Controls, audit support, and process discipline
Adherence to standard process; backup completeness; audit-ready documentation; rework or correction rate; SOP usage and updates.
Follow standard deduction processes and controls. Keep documentation audit-ready. Flag process gaps, missing information, or control risks. Support customer audits, compliance reviews, tool transitions, and related finance projects when required.

Salary Range
$70,000—$80,000 CAD
