Event Assistant

Part-Time Employee (20 hours/week)

Reports to:Executive Director

Location:Airdrie, Alberta

Role Summary

The Event Assistant plays a key role in the visibility and success of the AACC’s events. This position will act as the front-line representative of the Council at community gatherings, support event logistics and planning, and contribute to the success of signature events such as the Airdrie Mayor’s Night of the Arts.

This role is ideal for a university student interested in event management, arts administration, or community programming.

Key Responsibilities

1. Event Representation (Primary Focus)

  • Attend all AACC events, acting as a professional and welcoming representative of the organization.
  • Set up, manage, and take down AACC booths, displays, and promotional materials.
  • Engage with community members, answer questions, and share information about the AACC’s mission, membership, and programs.
  • Support audience engagement initiatives (sign-ups, surveys, giveaways, etc.).

2. Event Planning & Administrative Support (Secondary Focus)

  • Assist the Executive Director with planning, logistics, and coordination for AACC events.
  • Support tasks such as vendor communication, volunteer coordination, and event checklists.
  • Contribute to the creation of promotional content, registration tracking, and event documentation.

3. Mayor’s Night of the Arts (Tertiary Focus)

  • Take an active role in the planning and delivery of the annual Airdrie Mayor’s Night of the Arts.
  • Support pre-event preparation, on-site coordination, and post-event wrap-up.
  • Collaborate with staff, volunteers, and community partners to ensure event success.
Qualifications
  • Currently enrolled in post-secondary studies (preferably in Arts, Communications, Event Management, Marketing, or related field).
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Comfortable with public-facing roles and representing an organization.
  • Ability to work evenings and weekends for events.
  • Basic proficiency in Microsoft Office and/or Google Workspace; familiarity with social media an asset.
  • Physical ability to assist with booth/event set-up (lifting up to 25 lbs).
Position Details
  • Hours:20 hours per week, including some evenings and weekends.
  • Status:Employee of the Airdrie Arts and Culture Council.
  • Location:Events will primarily take place in Airdrie, Alberta.
