Concierge

Wanted: Experienced Concierge

Concierge Staff

· Reports to the Building manager.

· Assist owners and residents with the move-in/move-out process and ensure efficiency in a timely move and in accordance with the bylaws.

· Coordinate tradesmen for all services which is included but not limited to signing them in, giving them keys while making sure to collect them at the end of the job, allowing access to suites upon Owners authorization and arranging the elevators for tradesmen use (this includes padding and un-padding the elevator if maintenance staff is not on site) when building manager is not on duty.

· To be familiar with the use of all building amenities while keeping track of when and by whom it was used.

· Receive and deliver resident packages, dry cleaning and newspapers at the residents suite doors.

· Keep track of vehicles in the Visitor Parking area to ensure that residents do not abuse the parking privileges. Coordinate towing of unauthorized vehicles from strata common areas.

· The Concierge will keep regular contact with the Building Manager to alert of all major problems or emergencies.

· Be aware of Location and instructions for each type of emergency including emergency response numbers and procedures. See separate instructions forms; report to strata manager any discrepancies with these instructions and procedures so they may be amended as necessary.

· Provide full reports (ex. incident report) of emergencies or incident occurrences. The concierge will also keep a written log (daily memos) of all matters that are of importance to the Building Manager.

· Remain at the front desk when not performing other duties and maintain a presence of security.

· Provide assistance to guests and residents with their luggage and packages especially for elderly or disabled.

· Acknowledge and greet residents and visitors as they pass by the desk.

· Be very familiar with all emergency procedures and services along with the proper

· operation of mechanical equipment such as the fire panel, fire extinguisher, elevator operations, gas, water and sprinkler shut offs, etc.

· Respond to resident complaints while keeping a detailed log of all events and taking photos.

· Familiarize with the computer and computer software, along with the security cameras and features of the building. Closely monitor CCTV video feeds.

· Report any rules and bylaw violations to the Building Manager and/or Strata Manager

· Work with maintenance and cleaning staff to keep them aware of any areas that need service in order to maintain a clean building.

· Responsible for regular patrols of residential parking areas, along with the mechanical areas, elevator, generator, electrical rooms etc.

· Provide service in the most professional, polite and friendly manner.

· The Concierge shall be knowledgeable of all essential mechanical equipment areas and their proper function and handling.

· Answer the phone in a professional and warm disposition and be prepared to help residents with their questions and requests.

· Be prepared to clean spills in necessary areas such as the elevators, lobbies and main entrances when cleaning staff is not on site.

· Educate and inform residents of Strata bylaws and site procedures. Show locations of garbage, recycling, bicycle storage and storage rooms. Advising residents on proper security procedures, such as waiting for the parking gate to fully close before proceeding.

· Be familiar with suites spare keys, master key and allowed people to receive keys.

· Review e-mails when shift starts. Check the calendar for Move-in/out bookings and respond accordingly.

· Schedule Theatre, Guest and Meeting Rooms accordingly. Be familiar with the related forms, booking ways, pre & post inspection procedures.

· Be familiar with the Strata Community Portal to use resources.

· The afternoon and weekend shift to do walk-through at parking and boulevards twice per shift. Pick up any garbage or pet droppings and report any unusual security issues.

· Break time must be taken on site.

· Not to operate any personal electronic equipment such as mobile phones, tablets, laptops, etc.

· Always keep Concierge area tidy.

· Vacate premises immediately when no longer in uniform. Do not linger at the desk.

· Additional duties may be added at any time upon the request of the Strata Council, Building Manager or the Strata Manager.

To be successful in this role, you will require:

· Concierge Knowledge: Solid understanding of concierge responsibilities with previous customer service-related experience.

· Adaptive Team Player: A strong sense of collaboration, ready to take on varied roles to support and enhance overall building operations, including tasks outside the typical managerial scope.

· Organizational Prowess: Exceptional organizational skills, with a talent for efficiently managing tasks, schedules, and resources to maximize productivity.

· Effective Listening and Planning: Strong listening abilities coupled with the skill to assess situations and develop suitable action plans when necessary. Must be able to work well under pressure in fast paced environment.

· Technology Proficiency: Proficiency in computer applications, especially Microsoft Word and Excel, indicating a robust digital skill set.

· Communication Excellence: Outstanding communication skills, ensuring clear and effective interactions both verbally and in writing.

· Customer Service and Proactivity: Demonstrable work experience in delivering excellent customer service, with a proactive, results-oriented, and resourceful approach.

· Professional Presentation: Must present self formally and professionally. Black formal clothing will be required.
