The opportunity:

The customer service representative is a client centered role that handles maintenance and minor project enquiries from the University community, in addition to departmental communications.

This position relies heavily on the use of the departments computerized maintenance management system, whereby the incumbent performs ongoing data entry and monitoring to ensure the system reflects proper and up to date information (e.g. building information, assets, employees) to facilitate maintenance activities on campus.

Other related administrative duties to support Physical Plant will be performed as required.

The qualifications and experience we’re looking for:

  • Completion of a formal training program in a related discipline from a recognized institute is required.
  • Completion of a formal administrative/office assistant training program from a recognized institute is an asset.
  • Minimum three years of directly related experience in a maintenance/facilities setting is required.
  • Familiarity with U of M software systems, policies, and procedures is preferred.
  • Knowledge of maintenance/facilities environment including trades and their respective skill sets is preferred.
  • Experience in a unionized environment is considered an asset.
  • An acceptable equivalent combination of education and experience may be considered.
  • Strong interpersonal, customer service, and communication skills (written, verbal, listening) in English is essential.
  • Proficiency in using advanced features of MS Office Suite (Word, Excel, PowerPoint, Access) programs is required.
  • Attention to detail and accuracy for data entry integrity is required.
  • Must have demonstrated comprehensive reading and critical thinking skills to understand, interpret, and effectively communicate/schedule maintenance/shutdown information, and University policies and procedures.
  • Must be capable of managing a wide array of tasks; to plan, organize, problem solve, and prioritize work in order to meet deadlines in a fast-paced environment with many interruptions.
  • The ability to work well with internal University stakeholders, including faculty, staff, and students is required.
  • Demonstrated ability to learn specialized computerized maintenance management software is required.
  • The ability to work independently while following established procedures is also required.
  • Satisfactory work record, including satisfactory attendance and punctuality, is required.
