The Pet Cancer Foundation’s vision is to increase the life expectancy and improve the quality of life of pets diagnosed with cancer. Estimates suggest that 12M dogs and cats are developing cancer every year, roughly 6x the number of humans getting cancer yearly within North America.

We need to do more for our furry friends, and were building a large team of distributed, animal-loving passionate volunteers to help them and their families. Various teams throughout our organization require exceptionally organized and proactive administrative support specialists to support them as they manage their teams who are vital to the organizations success. About the Position:

We are seeking experienced administrative professionals willing to volunteer their time to help grow our organization. As a volunteer Administrative Support Specialist to one of our team leaders, your service will include those duties and responsibilities that support them as they lead their teams to execute on the organizations operational plans. Duties may include creating and managing sections of our Google Workplace intranet, creating, maintaining and updating project/content planning spreadsheets, communication through regular touch points with team members, and maintaining a calendar of meetings, resources, and team workflow.

The Support Specialist will help ensure their team functions in harmony, stays actively engaged, and provides progress reporting to their leadership consistently. This position plays an essential role in keeping a large team organized and their assignments delivered on schedule.

Duties and Responsibilities

  • Works closely with team leaders and managers to assist with project tracking, while preparing regular reports on project status and progress as required
  • Assists leaders and managers in the maintenance and upkeep of procedures, guidelines, and documentation needs
  • Creates, coordinates and updates spreadsheets and documentation for monitoring of assigned workflow
  • Drafts correspondence and assists leadership in the delegation of tasks to the team when required
  • Collaborates with, supports, and guides coordinators that may be added to support the team
  • Work closely with their leader to create and manage the team Google Workplace drive folder/file structure
  • Create and keep a calendar of meetings, resources, and workflow for the team
  • Schedule and attend conference calls on Google Meet when needed
  • Act as the point of contact and communicate project status to all the required stakeholders
  • Update project timelines, identify and share obstacles and opportunities
  • Monitor changes and identify conflicts to ensure smooth day to day coordination of all team activities
  • Execute relevant administrative support tasks to assist leadership as necessary

About You:

The ideal individual will have the ability to exercise sound judgment in various situations, with strong written and verbal communication, administrative and organizational skills, and maintaining a realistic balance among multiple priorities. You are an expert communicator and a thorough planner and taskmaster who feels a sense of achievement when the efforts they work and contribute to run smoothly and finish earlier than the planned due date, never leaving tasks until the last minute. Experience working with a variety of professionals and being a team player is required. You have:

  • 5 years experience as a senior administrative assistant
  • Superb oral and written communication and presentation skills.
  • Excellent organizational skills and strong attention to detail.
  • Project Management certificate or courses (would be an asset)
  • A strong sense of initiative with the ability to multitask
  • The ability to work with confidential and sensitive information in a discrete manner.
  • Proficiency in the Google Suite of software products as well as Microsoft Word, Excel, and PowerPoint.
  • Passion for the Pet Cancer Foundations mission.
  • Prior experience working with project managers/leaders or management is an added advantage.
