General Accountability
Performs a variety of clerical and administrative duties to support the day-to-day operations of the Building Services section in the Plant Maintenance Department. The role also provides coverage for other administrative and support staff, as required. Key Job Functions
  • Perform and/or coordinate the daily administrative activities of the Building Services section, which involves facilitation of the procurement of supplies, materials and services for the Surface Janitorial, Grounds Maintenance and, Waste Management sub-sections.
  • Assist with the monitoring, tracking and updating of information/data/records, including service and supply contracts, tracking/inspection sheets, timesheet / payroll administration and reporting, and invoice administration and reconciliation.
  • Prepare correspondence and/or documentation on behalf of the section/department in accordance with standards.
  • Process documentation, reports, data, with accuracy, and manage and maintain these documents, records, files, following established procedures and within established timelines.
  • Liaise with other colleagues/support staff, other departments, and/or external parties concerning routine matters under the direction of department staff.
  • May participate in and/or assist with other departmental duties, tasks, activities, or events as directed.
  • Participation in the TTC Customer Service Ambassador Program.

Education and Experience
Completion of secondary school education in a relevant discipline or a combination of education, training and experience deemed to be equivalent. Additional Requirements
  • Prior administrative or clerical experience in a similar or related work environment
  • Strong knowledge of modern office practices, procedures and equipment
  • Knowledge of purchasing practices and procedures
  • Knowledge and experience with financial monitoring, reporting and record keeping
  • Must be proficient in the use of computers, including data entry skills and proficiency with MS Office and other software or applications relevant to the work (i.e. Maximo, OARS, IFS)
  • Good organizational skills with the ability to meet deadlines and strong interpersonal and oral/written communication skills
  • Strong data entry skills, basic mathematic skills and good organizational skills to meet established deadlines
